This Client Service Agreement ("Agreement") outlines the professional relationship, policies, and terms under which Adventures by Annie, LLC ("Adventures by Annie," "we," "us," or "our") provides travel planning and booking services. By engaging our services, approving a proposal, submitting payment, or authorizing a booking, you ("Client," "you," or "traveler") acknowledge that you have read, understood, and agreed to the following terms.
1. Scope of Services
Adventures by Annie acts as a professional travel advisor and sales agent for third-party suppliers, including but not limited to airlines, hotels, resorts, cruise lines, tour operators, and transportation providers (collectively, "Suppliers"). Our services may include consultation, research, itinerary design, booking coordination, documentation delivery, and pre- and post-travel support, depending on the service level purchased.
We do not operate, own, or control any Supplier services and are not responsible for their acts, omissions, changes, or failures.
2. Client Onboarding & Communication Policies
Inquiry & Consultation
• Clients may contact us via inquiry form, email, referral link, or direct message. • A brief intake form is required prior to scheduling a discovery call. • A complimentary discovery call is offered to determine fit and scope. • A planning or consultation fee may be required before further research or proposals are provided.
Business Hours & Communication
• Business hours are Monday–Friday, 10:00 AM–5:00 PM (ET). • Appointments outside of business hours are by prior arrangement only. • Standard response time is within one (1) business day for non-emergency inquiries. • Email is the preferred method of communication unless otherwise arranged. • Weekend or after-hours inquiries will receive an acknowledgment when possible and be addressed during the next business day.
Follow-Up Process
• Proposal follow-ups occur immediately upon delivery, within two business days, and again after one week. • Pre-departure communication includes itinerary review and travel reminders. • Post-travel follow-up may include a welcome home message, review request, and future travel outreach.
3. Proposal & Booking Process
Proposals & Revisions
• Planning services include up to four (4) resort or destination proposals with up to three (3) revisions to dates or room categories. • Additional revisions or research beyond this scope may incur additional fees.
Approval & Authorization
• Proposals are delivered and approved through Travefy. • Client approval and completion of required authorization forms are mandatory prior to booking. • Pricing and availability are not guaranteed until deposit is received and confirmed by the Supplier.
Holds & Payments
• Courtesy holds may be requested when permitted by Suppliers but are not guaranteed. • A valid credit card authorization must be received no later than the prior business day before payment is due. • Final payment reminders are sent approximately two weeks prior to the Supplier deadline, with authorization requested three days in advance.
4. Fees, Payments & Refunds
Service Fees
All service fees compensate Adventures by Annie for professional time, expertise, and administrative work and are separate from Supplier costs.
• Cruise, Caribbean resort-only, and Disney vacation packages: $150 plan-to-go retainer, refundable after travel completion • Europe or custom itineraries: $250 per week, plus $25 per day after seven (7) days • Air-only bookings: – Domestic & Caribbean: $25 per ticket – Europe: $50 per ticket • Additional Disney services follow published VIP pricing
Fees are charged upfront and are generally non-refundable, except where explicitly stated.
Supplier Payments & Refunds
• Supplier deposits and payments are subject to the Supplier’s own terms and conditions. • Refunds, credits, or penalties are controlled solely by the Supplier. • We do not guarantee refunds, future travel credits, or successful rebooking.
Late or Missed Payments
• Failure to submit payment by the Supplier deadline may result in cancellation and penalties. • Planning and service fees will not be refunded if a booking is canceled due to non-payment.
5. Travel Documents & Client Responsibilities
• You are responsible for reviewing all travel documents for accuracy. • Traveler names must exactly match government-issued identification. • You assume full responsibility for passport validity, visas, vaccinations, entry/re-entry requirements, and travel eligibility. • Entry rules may change at any time and vary by destination.
We strongly recommend reviewing official government resources, including travel.state.gov and cdc.gov/travel.
6. Travel Insurance
• Travel insurance is strongly recommended to protect against cancellations, delays, medical emergencies, and supplier default. • If you decline insurance, you must acknowledge this in writing. • We are not responsible for denied insurance claims or coverage limitations, including those related to pandemics or government advisories.
7. Risks of Travel & Release of Liability
Travel involves inherent risks, including but not limited to illness, pandemics, weather events, delays, acts of terrorism, government actions, and supplier defaults.
You voluntarily assume all risks associated with travel and hereby release and hold harmless Adventures by Annie, LLC and its agents, employees, and affiliates from any and all claims arising from these risks or from Supplier acts or omissions.
8. Airline & Reservation Rules
• You agree not to engage in prohibited ticketing practices such as hidden-city, back-to-back, or point-beyond ticketing. • Airlines may cancel remaining flights if any segment is unused. • You agree to indemnify Adventures by Annie LLC or Chasing Down Daydreams Travel LLC against any airline claims resulting from such violations.
9. Credit Card & Chargebacks
• Use of a credit card is recommended for consumer protections. • When Adventures by Annie processes payments, we act solely as a facilitator. • You agree not to initiate a chargeback against Adventures by Annie LLC or Chasing Down Daydreams Travel LLC for Supplier non-performance.
10. Claims, Governing Law & Jurisdiction
• Any claim against Adventures by Annie must be submitted within 30 days of trip completion. • Legal action must be filed within one (1) year of the incident. • This Agreement is governed by the laws of the State of South Carolina. • Exclusive jurisdiction and venue shall be Dorchester County, South Carolina.
11. Acknowledgment & Acceptance
By approving a proposal, submitting payment, or authorizing booking, you confirm that you have read, understood, and agreed to this Client Service Agreement.
